How to run your business on ServKit

A step-by-step guide from your first login to getting paid — set up your company, add engineers, book jobs, schedule visits, file reports and invoice customers.

1. Set up your company profile

After signing up you get a 7-day free trial — no card needed. Start by completing your company profile, because it appears on every email and invoice you send.

  • Open Company profile from the sidebar and fill in your business name, address, phone and email.
  • Upload your logo — it shows on invoices and customer emails, and you can download it again any time.
  • Add your payment instructions (bank details) so customers know how to pay you.

2. Add your engineers

Engineers are the people you send on jobs. Each one needs a name, email and phone number so they can receive their job assignments by email.

  • On Company profile, use the engineers section to add each engineer.
  • Use the Edit button to update an engineer's name, email or phone number at any time.
  • When you assign a job, the engineer receives an email with the full job details.

3. Book a job

Every customer call becomes a booking. The job reference is created automatically from the customer's postcode and the date, so every job is easy to find later.

  • Go to Bookings and choose New booking.
  • Enter the customer's details, appliance make and model, and the problem description.
  • Pick a date and a time window — Morning (8:00am–1:30pm) or Evening (1:30pm–8:00pm).
  • Set a call-out fee if you charge one; it is automatically included in the invoice labour line.
  • Send the customer a confirmation email with the booking details straight from the booking.

4. Schedule and manage jobs

The Bookings list is your job ledger: filter by status, sort, export to CSV and update many jobs at once.

  • Assign an engineer to a job — they are emailed the full job details immediately.
  • Use Schedule & status to plan visits and send job details to the engineer again if needed.
  • If a job needs a follow-up visit (for example, waiting on a part), create a revisit — it carries over all the job details and links back to the original booking.
  • Every email sent about a booking is recorded in its notification history, and you can resend from there.

5. File the job report

When the visit is done, record what happened so you have a complete history for every customer.

  • Record the appliance make and model, work performed and engineer notes.
  • Upload photos of the damage area before work and of the completed work after.
  • Choose the outcome: Completed, Cancelled, BER, Rescheduled or Part required.
  • Add parts used and labour cost — the report total is calculated for you.
  • Edit or delete a report, and email it to the customer, from the report page.
  • All of a customer's reports — including revisits — are grouped together on the Job reports page.

6. Invoice and get paid

Completing a job generates an invoice automatically, with the call-out fee already rolled into the labour line.

  • The invoice shows your logo, business details and the customer's name, address and contact details.
  • Send the customer a downloadable PDF invoice by email from the invoice page.
  • Add a Pay now button so customers can pay online by card — paid invoices are marked automatically.
  • Edit invoice details, mark an invoice as paid, or delete it, from the invoice page.

7. Your subscription

Your first 7 days are free. After the trial, ServKit is £30 per month, billed securely by card.

  • The sidebar always shows how many trial days you have left or your subscription status.
  • Subscribe from the banner when your trial ends — payment takes a minute.
  • Manage or cancel your subscription any time from the Manage subscription link — you keep access until the end of the paid period.

8. Emails your customers receive

ServKit sends professional, branded emails on your behalf — replies go straight to your business email.

  • Booking received and appointment scheduled confirmations, including the fault description and call-out fee.
  • Engineer assignment and revisit emails to your engineers.
  • Job completed reports and invoices with a secure download and payment link.
  • Everything sent is logged against the booking so you always know what went out and when.
